Scope and contact
Solidify is a digital visualization and real estate technology business based in Ontario, Canada. This policy covers solidify.so and our project inquiries. Client-operated websites and experiences may have separate privacy notices. Our founders handle privacy questions and requests at [email protected].
Information we collect and use
When you contact us, we may collect your name, email address, phone number, company, project details, and messages. We use this information to respond, organize inquiries, discuss projects, prepare proposals, and provide relevant follow-ups. An inquiry does not subscribe you to a newsletter. Please avoid sending sensitive information that is not needed for your inquiry.

Email communications
When you contact Solidify by email, we may collect your name, email address, and any information you voluntarily provide. We use third-party email and communication service providers to receive, process, and manage business correspondence. These providers process information on our behalf to facilitate communications and support our business operations.
Telephone communications
We may record calls for note-taking and documenting business discussions. Before recording, we explain the purpose and obtain your consent. If you prefer not to be recorded, let us know so we can arrange another way to communicate. Voicemails may also be stored to respond to your message.
Website delivery and security
Our website servers are in Toronto, Canada. We use Cloudflare for website delivery, HTTPS, and security. Server and security logs may contain IP addresses, timestamps, browser information, and requested pages. We use this information to operate, troubleshoot, and protect the website. We do not currently use visitor analytics, advertising pixels, or session recording. See our Cookie policy for browser-storage information.
Service providers and access
We use service providers for website delivery and security, business communications, and organizing inquiry and client information. Access is limited to authorized founders and personnel who need it for their work. Service providers may process information outside Canada, including in the United States, where it may be subject to local laws and lawful access by authorities. Hosting our website in Canada does not mean all information stays in Canada.
We may disclose information where required by law or necessary to establish, exercise, or defend legal claims.
Retention and safeguards
We retain unsuccessful inquiries for 12 months after the last meaningful interaction and client correspondence for three years after project completion, unless longer retention is required by law or a contractual obligation. Call recordings are deleted shortly after notes are taken and the recording is no longer needed. Voicemail is retained only as long as needed for business communications. Notes taken from calls follow the applicable inquiry or client-correspondence retention period.
We use HTTPS, access restrictions, and multifactor authentication to protect information. No system can guarantee complete security.
Your requests
Email [email protected] to request access, correction, or deletion of your information, withdraw consent, or raise a privacy concern. We may need to verify your identity. Requests are subject to applicable law and retention obligations; withdrawal or deletion may affect our ability to continue an inquiry or provide services.
External websites and updates
External websites, including LinkedIn, have their own privacy practices. We update this policy when our practices change and revise the date above.
